GasPass privacy policy

GasPass is a free app for gas and heating engineers, currently released as a test version. This policy explains what happens to information when you use the app, download it from our website, or contact us.

Who runs GasPass

GasPass is run by Nicholas Whitehouse, trading as Evoke Heating and Plumbing, a sole trader in the United Kingdom ("I", "me"). I am the data controller for the small amount of personal information described in What I do receive.

The short version

  • Everything you put into GasPass stays on your phone. Your customers, properties, jobs, certificates, photos, invoices and settings are stored on your device. There is no GasPass account and no GasPass server, and I never receive any of it.
  • No tracking. GasPass has no analytics, no advertising and no crash-reporting service.
  • A few optional features look things up on the internet. They only send what the lookup needs, and only when you use them (see below).
  • I only receive information if you choose to contact me or join the iPhone test.

Information that stays on your phone

GasPass stores everything you enter in the app's own private storage on your device. That includes details about your customers, which you hold as their data controller for your own business. GasPass does not send it to me or to anyone else.

  • Backups are files you create and choose where to keep. You can protect them with a password, which encrypts them. If you save a backup to a cloud service or send it to someone, that service's own terms apply.
  • Sharing: when you email or share a certificate, invoice or quote, it goes through your own email or sharing apps, to the people you choose.
  • Contacts: if you import a customer from your phone's contacts, only the contact you pick is copied into GasPass.
  • Camera and photos: photos you take or attach are stored inside GasPass on your phone.
  • App lock: Face ID, fingerprint and passcode checks are done by your phone. GasPass never sees your biometric data.
  • Reminders: job and renewal reminders are scheduled on your phone. No notification server is involved.
  • Flue gas analyser: the Bluetooth connection is directly between your phone and your analyser. Readings are stored only on your phone.
  • Error log: GasPass keeps a log of recent errors on your phone. It is only sent if you choose to share it, for example with a problem report.

These only run when you use them. Each sends only what the lookup needs.

Google, Apple and the government register handle these requests under their own privacy policies. Like any internet request, they can see your device's IP address.

What I do receive

If you contact me or report a problem

When you email support@gaspass.co.uk, for example with Settings › Report a problem, I receive:

  • your email address and name
  • what you write, and any screenshots or files you attach
  • the app version and phone software version, which the report fills in

I use this to reply and to fix problems. Legal basis: legitimate interests (supporting the app and making it work properly). I keep these emails for up to 24 months after the issue is closed, then delete them.

If you join the iPhone test (TestFlight)

You join through Apple's TestFlight public link, so Apple handles the sign-up with your Apple ID. TestFlight may show me the name and email address of each tester. If you ask me by email to add you instead, I enter the name and email you give me into TestFlight, which sends the invite.

While you test, Apple may pass me:

  • feedback and screenshots you send through TestFlight
  • crash reports
  • basic device and usage information about the test build

This is covered by Apple's TestFlight terms and privacy policy. I use it only to run the test and fix problems. Legal basis: your request to join, and legitimate interests.

I keep your details while you are a tester and remove them within 3 months of the test ending or you leaving it.

If you visit the website

The website, gaspass.co.uk, is hosted by Cloudflare, which handles standard request information such as IP address and browser for security and to keep the site running. Android downloads are served from GitHub (github.com/gaspass-app/downloads), which sees the same kind of request information when you download. The website uses no advertising or tracking cookies and no analytics.

The iPhone page links to Apple's TestFlight. If you email support@gaspass.co.uk instead, I receive what you put in the email, which is used as described above.

Who else is involved

I do not sell or share your information with anyone for marketing. The only other organisations involved are the services that make the above work:

  • Apple (TestFlight)
  • my email provider
  • Cloudflare (website hosting and forwarding support@gaspass.co.uk)
  • GitHub (Android downloads)

They act on my behalf, or under their own terms where you use their services directly.

Some of these companies, including Apple and Google, may process information in the United States. Where that happens it is protected by the UK's approved safeguards, such as the UK–US Data Bridge or standard contractual clauses.

Your rights

Under UK data protection law you can ask me to:

  • give you a copy of the information I hold about you
  • correct it
  • delete it
  • restrict or object to how I use it
  • give it to you in a portable form

Email support@gaspass.co.uk. I will reply within one month.

Remember that I do not hold anything you put into the app. That is on your phone, and you can export or delete it yourself.

If you are unhappy with how I have handled your information, you can complain to the Information Commissioner's Office: ico.org.uk, 0303 123 1113. I would appreciate the chance to sort it out first.

Children

GasPass is a professional tool for engineers. It is not intended for anyone under 18.

Changes to this policy

If this policy changes, the new version will be posted here with a new date. For significant changes I will also tell testers in the app or by email.
